Packing Board: Confirm the PO First, Then Buy — Scan to Bin, Track Arrival, Confirm by Warehouse, Count Multi-Unit Lines Piece by Piece
Takealot requires Leadtime orders into a Confirmed PO within 2 days of placement, yet goods often take 3–10 days to reach your warehouse. 辉光ERP's Shipping page adds a Packing tab that flips the flow to "confirm the PO first → buy → scan arrivals into bins → ship when complete": one-click confirm by warehouse, scan-to-bin, a board that tracks arrival progress, and piece-by-piece counting for multi-unit lines — the full seller fulfillment chain is now open to every account.
The platform scores you on getting Leadtime orders into a Confirmed PO within 2 days of placement — yet domestic purchases often take 3–10 days to arrive. The old flow, "goods in → build PO → confirm → ship," simply couldn't keep up. Once an order entered a PO, the New Orders scan could no longer find it, and CONFIRMED_SHIPMENT lines dropped out of Purchasing Centre's to-buy list. 辉光ERP flips the path: confirm the PO first, then buy, then scan arrivals into bins.
The Shipping page gains a Packing tab. After a gray rollout, the gate came down on 10 September 2026 and opened to every account — Pending Confirmation, the Scan & Pack board, and Purchasing Centre's to-buy scope — the full seller fulfillment chain, released in one go.
What this feature does for you
- Pending Confirmation, one click per warehouse: overdue New Orders, or those due within 24 hours, are grouped by warehouse for a one-click "create draft + confirm" into a formal PO (those two buckets are pre-checked). After confirm, the system syncs orders immediately — within seconds each line carries its PO name. No more hopping New Orders → Draft → Confirmed.
- Scan to locate the bin: when parcels land, scan the tracking number at the top of Scan & Pack (merged numbers typed in Purchasing Centre, or back-filled from 1688 / Pinduoduo / Taobao). Large type tells you "→ Bin A3 · CPT · this SKU 1/2 · carton 7/15" — drop the goods in that bin. No tracking number? Scan the product barcode / PLN / SKU; the system picks the nearest-DC open Confirmed PO for that store's SKU and marks the result as inferred.
- A packing board that tracks progress: one row per in-transit Confirmed PO — bin short code, PO name / number, warehouse, DC deadline countdown, arrival progress, status. The scanned bin stays highlighted until you open it; expand to see each product on its own row with order number · qty · tracking · arrival time laid flat. Lines without a tracking number can be marked Arrived by hand; Undo undoes a mis-tap without jumping the page.
- Find a bin by SKU / TSIN / title: board search isn't limited to PO name and bin code — type a SKU, TSIN or title fragment and the matching PO row shows "contains xxx", with a green side bar on the product when expanded. No more hunting shelves for "which bin holds this item".
- Multi-unit lines counted piece by piece: on a line with quantity > 1, the first scan only records "counted 1/N"; arrival is logged only when the count is complete. Barcode scans count pieces; tracking-number scans count parcels (re-scanning the same number doesn't double-count). A yellow banner shows how many pieces / parcels are still missing; if one parcel holds several units, tap "line complete" to mark the whole row arrived.
- Purchasing Centre stays connected: orders already confirmed into a PO no longer vanish from To Purchase — CONFIRMED_SHIPMENT is in scope, so buy → write back tracking → scan into bins stays one continuous chain.
Scan results speak in colour: green = exact locate; yellow = inferred from SKU; blue = scanned before (duplicate-count warning); orange = still in draft / not yet a Confirmed PO; red = PO already shipped or no bin found — needs a human check. Arrival records live only in this system and are never pushed to Takealot. If the DC deadline has passed and the carton isn't complete, you can short-ship from Confirmed POs (DC receives less) or keep waiting — the page does not decide for you.
Real seller scenarios
- Morning SLA catch-up: open Pending Confirmation, one-click confirm for CPT / JHB / DBN — overdue and within-24h lines enter formal POs. The assessment window is safe even while goods are still on the road.
- Parcels in, scan to bins: a pile of couriers at the door; the gun runs down the tracking numbers — A3, B7, C2… Each beep shows which bin, which piece of this SKU, and how far the carton is; the board row highlights, and complete POs move to Confirmed POs for ship-out.
- Counting a multi-unit bestseller: one order needs 5 of the same SKU across three parcels. Barcode scans climb "counted 2/5", "3/5"… until complete; one parcel holds 2 units — tap "line complete" once. No under-ship, no double-count.
- Pre-ship double-check: forgot which bin holds an item? Scan the barcode again — a blue "previously arrived" tip shows the bin, looking only at unshipped cartons so it won't re-log arrival, and the card still shows who recorded it and how.
The Packing Board is part of 辉光ERP — the all-in-one management platform for Takealot cross-border sellers in South Africa. Confirm first, buy next, bin on arrival — fulfillment that keeps pace with the platform's clock.
